Your information

Privacy Policy

How we handle your information, and how to contact us about it.

This policy explains how My BioHealth handles personal information across website enquiries, bookings, consultations and services.

Review date: 11 October 2026.

Information we collect

Depending on how you interact with us, information may include your name, email address, phone number, booking details, payment-related records and messages you send us.

Consultations, consent forms and optional assessment tools may also involve health and wellbeing information. Where you use a Health Kiosk assessment, relevant measurements may be recorded. The precise information depends on the service and the information you choose or need to provide.

Website technologies may collect technical information such as pages visited, device/browser details, approximate location and interactions with booking or enquiry links.

How information reaches us

We collect information through website forms, booking providers, messages, phone calls, consultations and service records. Third-party booking and payment services also handle information under their own policies.

Provide only information relevant to your enquiry. General contact and availability-update forms should not be used to send test results, medical documents or detailed health histories.

Why we use information

Information is used to respond to enquiries, manage bookings and payments, assess suitability, provide services and communicate about appointments or care. Optional assessment information may help prepare a treatment or recovery discussion.

We also use relevant website information to understand site use and measure enquiries or booking-link interactions. Clicking a booking link is not itself proof that an appointment was completed.

Health information and optional assessments

The Recovery Blueprint asks about areas such as energy, sleep, stress, pain, mobility and focus. Answers and scores can contain health information. Where submitted, they are sent to the clinic through the form-delivery service so the clinic can respond and prepare the requested discussion.

The Blueprint is optional. You can access individual treatment information and booking routes without completing it.

Consent to an assessment or treatment is separate from consent to advertising or marketing. A privacy policy does not replace the collection notice or appropriate consent at the point where health information is requested.

Service providers and information sharing

Providers supporting the current website and booking routes include:

  • Fresha: treatment/package booking and payment functions, and information entered in its booking process.
  • Square: payment processing for the Recovery Blueprint route where used.
  • Web3Forms: delivery of website forms to the clinic, including submitted Blueprint answers where provided.
  • Google: website analytics and advertising measurement technologies.
  • Meta: Facebook/Instagram advertising measurement through a Pixel configured to load following the website’s saved or newly granted consent choice.

Hosting, email and other clinic service providers may also process information necessary to operate the service. The final policy must identify the verified arrangements and describe likely overseas disclosures and countries where practicable.

We do not sell your personal information. Information may also need to be disclosed where required or authorised by law.

Cookies and tracking preferences

The website uses cookies, browser storage and similar technologies. Its current Google consent settings default to denied unless a previous granted choice is stored. Google tags can still load in denied mode; this should not be described as a guarantee that no information is transmitted.

The package includes a Meta Pixel configured to load after consent. Analytics and advertising information can include identifiers and interaction data, so it should not be described as completely anonymous.

You can use your browser settings to control cookies and storage. The proposed rebuild will also provide an accessible way to revisit website tracking preferences; that control must be implemented and tested before this promise is published.

Availability updates and marketing

If you register for updates about a planned service, the purpose is to communicate about that service’s availability. Registration does not reserve an appointment.

You can contact us to stop receiving these updates. Any separate promotional subscription should clearly explain its purpose and how to unsubscribe. Joining an availability list should not automatically subscribe you to unrelated campaigns.

Storage, security and retention

Information may be held in clinic records, email and the service-provider systems involved in the relevant booking or enquiry. The final policy must describe the verified storage arrangements and reasonable safeguards without publishing security-sensitive details.

Information needs to be retained for applicable clinical, legal and business requirements. Health records may need to be kept even if deletion is requested. The retention rules and disposal process must be confirmed for the types of records held.

Access, correction and deletion requests

Contact us to request access to or correction of information held by My BioHealth. We may need to verify your identity before providing records or making changes.

You can also ask about deletion. We will consider the request alongside applicable retention requirements and explain any limits on what can be deleted. Records held by an independent booking/payment provider may require a request to that provider as well.

Privacy concerns and complaints

Contact the clinic with your privacy concern, relevant details and preferred contact method. Please avoid sending unnecessary sensitive documents in the initial email.

The final policy must identify the responsible privacy contact and the clinic’s verified acknowledgement, review and response process. If the matter is not resolved, relevant external complaint routes include the Office of the Australian Information Commissioner and Victoria’s Health Complaints Commissioner, depending on the issue.
